Privacy Policy
How VP Racing Fuels Europe handles personal data on this site, in accordance with UK and EU data protection legislation: who is responsible, what is collected and why, who else sees it, how long it is kept and how to exercise your rights.
Draft — pending formal legal sign-off. This notice is written to be accurate about what this site does with your data, and VP Europe's counsel has still to sign it off. The cookie policy lists every cookie the site sets.
Who is responsible for your data
- The site is operated by Pro Energy Fuel Ltd. (a VP Racing Fuels company) — the data controller for this site. Registered in Ireland, company no. 718549, of Strand Campus, Airport Business Park, Strandhill, Co. Sligo, F91 FE8N, Ireland. Full company identification is on the legal notice.
- The supervisory authority for complaints about this controller is the Data Protection Commission (Ireland).
Data Protection Officer and representatives
VP Racing Fuels Europe has not appointed a Data Protection Officer. The processing on this site is not large-scale monitoring and involves no special categories of data, so Article 37 does not require one.
No EU representative under Article 27 of the EU GDPR is required: that obligation applies only to a controller not established in the Union (Article 3(2)), and the controller named above, Pro Energy Fuel Ltd., is established in Ireland. Because the site also addresses customers in the United Kingdom, whether a separate UK representative under Article 27 of the UK GDPR is required is being assessed with counsel.
What we collect, and when
- Contact form: what kind of inquiry it is, your country, your name, email address, an optional phone number, and your message.
- Dealer form: your company name, country, city, type of business, your name, email address, phone number, and optional notes.
- Newsletter: your email address, optionally a first name and country, and a record of the exact consent wording you agreed to.
- With every one of those: a one-way hash of your IP address and your browser's user-agent string. The IP address itself is never written down.
- Cookies: strictly necessary ones always, and an analytics cookie only if you allow it — all listed on the cookie policy page.
- Vercel Web Analytics: which pages are read, in aggregate. It loads only once you allow analytics cookies; it sets no cookie, uses no persistent identifier and records nothing that names you.
- PostHog (EU-hosted) analytics: pages viewed and how you found the site. It loads, and sends anything, only once you allow analytics cookies. Before that, and if you decline, it is not loaded and no analytics request is sent.
- This site does not run a store, so unlike vpracingfuels.com it does not collect order history, payment details, an account password, or shopping-cart activity.
Why are we allowed to hold it?
| What we do | Lawful basis (Article 6 GDPR) |
|---|---|
| Answer a contact or dealer inquiry | Article 6(1)(b) — steps taken at your request before entering a contract, and Article 6(1)(f) where the inquiry is not about a contract: our legitimate interest in answering people who write to us |
| Send the newsletter | Article 6(1)(a) — your consent, given by double opt-in, withdrawable at any time |
| Keep the record of that consent | Article 6(1)(c) — our legal obligation to demonstrate consent under Article 7(1) |
| Strictly necessary cookies, spam protection on the forms | Article 6(1)(f) — our legitimate interest in keeping the site working and free of automated abuse |
| Aggregate audience measurement (Vercel Web Analytics, no cookie, no identifier; loads only once you allow analytics cookies) | Article 6(1)(a) — your consent, given through the cookie banner, withdrawable at any time via the Cookie settings link in the footer |
| Audience measurement via PostHog (EU-hosted, loads and sets a cookie only once you allow analytics cookies) | Article 6(1)(a) — your consent, given through the cookie banner, withdrawable at any time via the Cookie settings link in the footer |
Who else sees it
- Supabase (database), Resend (email delivery), Cloudflare (Turnstile spam protection), Vercel (hosting and analytics), Shopify (newsletter list), PostHog (EU-hosted analytics, only if you allow analytics cookies).
- Supabase, Resend, Cloudflare, Vercel and Shopify each process data under a written data processing agreement with the controller.
- Where a processor handles data outside the EEA, the transfer runs on the European Commission's standard contractual clauses together with that processor's own supplementary measures.
- Leads are read by a person before anything is entered into any other system. Nothing is exported automatically.
How long do we keep it?
- Newsletter sign-ups that are never confirmed: deleted after 30 days.
- Leads from the contact and dealer forms: 24 months from the last contact, then deleted.
- The consent audit trail: 6 years, because that is how long we may have to prove consent was given.
- Analytics: aggregate figures only, with no personal data retained.
Your rights
- Access — ask what personal data VP holds about you.
- Rectification — ask for inaccurate data to be corrected.
- Erasure — ask for your data to be deleted (VP's own policy calls this the right to delete; GDPR calls it erasure, sometimes "the right to be forgotten").
- Restriction — ask VP to stop, but not delete, processing your data.
- Portability — receive a copy of your data in a format you can take elsewhere.
- Objection — object to processing that remains on legitimate interests, including the spam protection described above.
- Withdrawing consent at any time — including by the unsubscribe link in every marketing email, and by the Cookie settings link in the footer of every page. Withdrawing consent does not affect anything done before you withdrew it.
Requests go to privacy@vpracingfuels.eu . We reply within one month. We ask you to send the request from the email address the data was given with, or to identify the inquiry another way, so that we do not disclose someone else's data to the wrong person.
You can also complain to the Data Protection Commission (Ireland).
